Paper documents, intellectual property and back issues of publications are better off stored as electronic files. A high speed or specialist scanner is used to digitise the documents.

Documents can be made fully word searchable by text,meta tag or Keyword if required using Optical Character Recognition(OCR) Software and data entry. Documents are saved onto CD-ROM or to an online document archive.Users can easily search for a document or for text within a document.

Document scanning and image enhancement
Scanning and digitising documents is a simple way to clear away paper while retaining information. Our high speed scanners allow us to process up to 60,000 digitisations each day. Any size or shape of document can be scanned including double-sided pages, different thicknesses and page weights and magazines.

To create print quality electronic documents, the scanned versions can be digitally enhanced (where legally permissible), removing any artefacts such as handwritten or stamp marks.

Images can be digitally enhanced to improve quality and remove artefacts such as marks and handwritten notes.

Coding, data capture, indexing, and archiving
A searchable archive of your intellectual property can be a valuable asset to your company and your customers.

To create an archive, Optical Character Recognition (OCR) is used to extract data from scanned files. OCR software recognises text, images, and tables from a scanned media and converts them into a format that can be edited using a word processor, spreadsheet or image editing software. Documents can be coded and indexed so that they can be searched by field. If required documents can even be made fully word searchable so that when a word or a phrase is entered, the matching words or phrases will be highlighted in the electronic image.

Documents can be coded and indexed so that they can be searched by field. The system is very flexible and could be used (for example) to search for all invoices between Jan 1st and Jan 20th 2005 for a particular supplier. You can further refine your search by the amount of the invoice.   Electronic documents can be made fully word searchable, so that when a word or a phrase is entered, the matching words or phrases will be highlighted in the electronic image.

Final digital output
Your digital files can be delivered on CD or DVD media or HarrisBPO can host a document repository on your behalf. Many of our clients already have their own document management software in-house and our files can be uploaded into any of these systems. However, if required, HarrisBPO can offer the whole solution and will custom-build a document management software solution to suit your needs. When the scanned files are uploaded you and your customers will be able search all your documents electronically using key words as easily as using Google.

We can help our clients create electronic versions of their current magazines and historical back issues, allowing them to reach a much larger audience online. Scanning and digitising magazines can turn stacks of unusable paper back issues into a digital archive - a marketable product of value to your customers.

Microfilm and microfiche can seem cumbersome and slow to today's internet society. Each roll can only be viewed by one person at a time on readers that are becoming increasingly difficult and expensive to service and maintain. Scanning and digitising microfilms and microfiche can make them instantly available to multiple users.

Legal Scanning
Managing litigation related documents for clients can be a monumental task for law firms. Consequently, many law firms choose to scan and code their clients' paperwork so that they can manage documents electronically rather than waste hours thumbing through paperwork.

Electronic litigation documents can be coded and paginated so that they are searchable by fields such as author, title, date, document type, Bates number, etc. Key words that are important to the case, can be highlighted wherever they appear throughout the document. Consistently-indexed digital content enables organisations to retrieve information easily whenever they require it.
